Someone building a budget today needs to check current pricing rather than using figures from online examples written 18 months ago.
What about physical expenses?
Office supplies stabilized, but shipping costs remain unpredictable. If your business model involves sending physical products, you need a buffer category now. I recommend 15 to 18 percent above calculated shipping fees based on current rates. Courier services change fuel surcharges monthly, and those adjustments add up quickly for businesses shipping 30 or more items weekly.
How should beginners handle this uncertainty?
Build two versions of every budget - a baseline using today's confirmed prices and a stressed version adding 12 percent to variable costs. The gap between these versions shows your vulnerability to further increases. If that gap threatens your runway, you know which expenses to renegotiate or eliminate before they become problems.
Any specific numbers to keep in mind?
Payment processing fees increased slightly. What was 2.7 percent plus 30 cents per transaction is now 2.9 percent plus 35 cents at most processors. On $8,000 monthly revenue, that difference costs you an extra $19, which matters when margins are tight.
